Lead pipeline

From website to a licensed rep without a lead going cold.

A quote request should reach a person who can help while the lead is still interested. We capture it, alert your team, answer the first reply, chase what stalls, and in pilot, place the first call. We set it up with you; it is not self-serve.

Five stages, honestly labeled

What happens between the form and the handshake.

Each stage carries its status. Live stages run in production today. Early access and pilot stages are real, but we turn them on with you, one agency at a time.

Live: running in agencies today. Early access: available, turned on with you. In pilot: running with one agency; ask us.

01 / Capture

Live

Every lead lands on the board.

Your website quote or contact form posts to your agency’s private webhook. The lead appears on your board as a high-priority card in seconds. We de-duplicate repeat submissions so one person does not become three cards.

What this stage does
  • Works with plain HTML forms.
  • Works with Zapier, Make, and Notion.
  • Any tool that can send a webhook can send a lead.

02 / Alert

Live

Your team hears about it right away.

The moment a lead lands, your team gets an email with the lead attached and a link to the card. Nobody has to refresh a board or check an inbox to find out someone asked for a quote.

What this stage does
  • Email alerts go to your agency's admins.
  • The lead details ride along in the message.
  • Text alerts are on the early-access list.

03 / Respond

Early access

The lead hears back before your team is free.

The lead gets a confirmation text. If they reply, an AI intake responder answers from your agency’s own hours, appetite, and documents. It never quotes a price and never promises coverage. Anything outside that scope goes to a human.

What this stage does
  • Answers come from your documents, not a generic script.
  • No prices. No coverage promises. No binding.
  • Hands off to your team on anything it should not answer.

04 / Chase

Live

Stalled leads stay visible, not forgotten.

Every lead carries a status, a named owner, and a next-step date on the board, so a lead that has sat too long is obvious at a glance. Nothing waits on a question of whose turn it is. When the policy binds, convert the lead to a client in one click.

What this stage does
  • Status and next-step date on every lead.
  • Every open lead has a named owner.
  • Convert to client in one click when it binds.

05 / Call

In pilot

A first call, then a warm transfer to a licensed rep.

An AI agent places the first call during business hours. It says it is an AI, confirms the lead’s details, and warm-transfers to a licensed rep who accepts with one keypress. Opt-in only. Transcripts are kept. It never auto-redials.

What this stage does
  • Business hours only. Says it is an AI on every call.
  • Confirms details, then transfers to a licensed rep.
  • Opt-in only. Transcripts kept. Never auto-redials.

How we set it up with you

We do the wiring. You do the approving.

The pipeline is set up with your agency, not handed over as a kit. It runs in your own tenant, on your own documents, with your own team named on every lead.

  1. 1

We wire the form and the webhook

We connect your website form, or the tool you already use, to your agency’s private webhook. You send a test lead and watch it land on the board.

  2. 2

    We set the alerts

We decide with you who gets notified, by email and by text if you have a number set up with us. We send test alerts before anything real goes out.

  3. 3

We write the responder from your documents

We build the intake responder from your hours, appetite, and the documents you give us. We draft it; you read it line by line.

  4. 4

You review before anything goes live

Nothing texts, emails, or calls a lead until you have reviewed it and said yes. Then we turn it on together.

Questions agencies ask

Before a lead gets a text from us.

Consent, limits, data, and what happens when the AI reaches the edge of what it knows.

Security & data handling
Who gets texted or called?

Only leads who opted in. Texts and calls go to people who gave consent through your form or another channel you control. We set the consent language with you during setup. The pipeline only contacts leads your form has recorded as opted in.

What will the AI not say?

It will not quote a price. It will not promise or confirm coverage. It will not bind anything. It will not pretend to be a person. On a call it says it is an AI. On any question outside your hours, appetite, and documents, it hands off to your team.

Where does our lead data live?

In your own AgencyOver tenant, alongside your clients, policies, and tasks. Lead data is not pooled with other agencies. Transcripts from the call pilot are kept in your tenant too.

What happens if the AI cannot answer?

It says so and hands off to a human. The lead is told a member of your team will follow up, the card on the board is flagged, and the owner is alerted. The AI does not guess.
